PestWorld 2020 and COVID-19 Update

The current situation around COVID-19 is constantly changing, and the staff at NPMA are striving to provide the most accurate, up to date information that can be found online here -www.pestcontrolcoronavirus.com.

At this point in time, NPMA is planning on hosting PestWorld 2020 in October as planned. This means that all exhibitor contracts, rules & regulations, and cancellation policies are being upheld. Should the need arise to change or modify the cancellation policy or the rules & regulations NPMA will contact the person designated as the primary contact on the PestWorld 2020 booth order. NPMA will also ensure that any changes are posted to the PestWorld 2020 webpage in the exhibitor section.

When is PestWorld 2020?

PestWorld 2020 will be held on October 13-16, 2020. The show will close on Friday, October 16.

What is the location?

PestWorld 2020 will be held at the Gaylord Opryland Resort & Convention Center in Nashville, Tennessee. You can find out more information by visiting our PestWorld 2020 Hotel Information website, PestWorld 2020 Hotel & Travel Information.

 

Registration Issues & Registration Options

How do I register?

There are three ways you may register:

Why am I not getting the member rate while trying to register?

The most common reason for not receiving the member rate is because you have not logged into the NPMA website. Before attempting to register online, log into the NPMA website using your MyNPMA login credentials. To login, go to the NPMA website’s main page, in the top right corner you’ll see the “LOG IN/MEMBERS ONLY” button. It’s located directly beneath the search bar. 

If you logged into the NPMA website and still do not receive the member rate, your company’s NPMA membership may have lapsed, or there may be an issue with the company your profile is linked to. To check on the status of your membership and company affiliation you may reach out to us at npma@pestworld.org

I’ve added multiple people to my cart, but when I check out people are missing/my total is incorrect. What do I do? 

If this happens, try clearing your cookies/cache in your web browser and then attempt the online registration process again. Another helpful tip is to avoid using the back button while registering online as this may cause problems with your cart.  However, if you continue to experience problems while registering online, you may call our office at 703-352-6762 and we can assist you with registering over the phone.

What are the registration rates?

What does the full attendee registration option grant me access to? 

By purchasing the full attendee registration option, you receive access to most PestWorld 2020 events. This includes access to all the general sessions, all the educational sessions, access to the exhibit hall, a ticket to the Friday night PestWorld Party, and the evening networking receptions (does not include receptions marked as “Invitation Only”). There are several optional events that are not included with the full registration option but, may be purchased separately. View the list of optional events

What can my spouse or guest attend?

Spouse, guest, and children must all be registered in order to attend PestWorld 2020 events. The Spouse/Guest registration package includes access to all general sessions, access to the exhibit hall, a ticket to the Friday night PestWorld Party, and the evening networking receptions (does not include receptions marked as “Invitation Only”). There are several optional events that are not included with the full registration option but, may be purchased separately. View the list of optional events. If your spouse, guest, or child does not want to purchase the entire Spouse/Guest registration package, they have the option of purchasing tickets a la carte to the events they plan on attending. Does my registration include the hotel room?

Registration does not include your hotel room. Information on making your hotel reservation at the Gaylord Opryland can be found on our website, Hotel & Travel Information.

 

Cancellation & Refund Questions

What is your cancellation policy?

For PestWorld Attendees: All refund requests must be made in writing and sent to Kathleen Barth at kbarth@pestworld.org. The cancellation and refund schedule is outlined below:

After October 7, 2020, all registrations will be onsite and charged the onsite registration rates.  If your registration is received after October 7, it will not be processed until you arrive at the convention and you will be charged onsite registration rates.

For PestWorld Exhibitors: All refund requests must be made in writing and sent to Megan Moloney at mmoloney@pestworld.org.

Can I substitute my registration for somebody else?

Absolutely! Just submit your substitution request in writing to Kathleen Barth at kbarth@pestworld.org.  We will need the following information in your request: the name of the attendee who can no longer attend, the name of the attendee who will fill their place, and their company information.

 

Hotel/Venue Questions

Is there a discounted room rate for PestWorld 2020 attendees?

Yes, PestWorld guests receive a discounted room rate of $239/night plus tax. Click here to book your rooms online. The discounted room rate of $239/night is valid through September 18, 2020. After September 18, rooms and rates are subject to change.

Is parking available at the Gaylord Opryland Resort and Convention Center?

Yes, onsite parking is available for a flat fee of $32/day. Valet parking is also available for $40/day.

 

Additional PestWorld FAQs

What states have approved CEU credits for the education sessions?

Will there be a translator there available?

Yes, NPMA will be providing translation in Spanish onsite at PestWorld 2020. Translation units will be available for check out at the International Registration desk in the Delta Convention Center Foyer. Translation units are provided to our attendees for free however, a form of payment is required as a safety deposit.

Translated sessions are chosen onsite at PestWorld 2020 during the International Delegates Orientation & Welcome, which will take place on Tuesday, October 13 from 11:00 AM – 12:30 PM.  

I am traveling to PestWorld from another country and need an invitation from the event organizer. Who do I contact?

If you need a letter of invitation to PestWorld 2020 you may contact Kathleen Barth at kbarth@pestworld.org. Please make sure your request includes your full name, company name, company address, and passport number (if you want it included in your letter), and Kathleen will send you an official PDF letter of invitation.

*Please note: A letter of invitation is not the same thing as a travel visa. If your country requires a travel visa, you will need to work with your government to secure the proper documents. While NPMA is happy to provide a letter of invitation to assist with your request for a travel visa, NPMA is not able to assist in the process of obtaining a visa in any other way.

If I use all my complimentary badges, what is the cost of additional badges?

Additional Badges can be purchased for $250/badge once a company has used all of its complimentary badges. Exhibitor badges include all PestWorld 2020 official functions, including the exhibit hall, general sessions, and educational sessions. Final night party tickets are not included but can be purchased separately.

I have a booth personnel badge, what can I attend aside from the exhibit hall?

All exhibiting personnel must purchase a booth personnel pass in order to access the exhibit hall at PestWorld 2020. Your booth personnel pass gives you access to all general sessions, education sessions, and the exhibit hall. Your pass will allow you to enter the exhibit hall shortly before and after the official PestWorld show hours.

*Please note: If you set up appointments to meet with your customers at your booth, they must take place during official PestWorld exhibit hall show hours AND the customer must be registered for PestWorld 2020 before they are allowed to enter the hall.

What is the cost to become an Allied member of NPMA?

The cost of an Allied membership is based on the amount of sales that your company does within the pest management industry. Please click here for more specific pricing.

What are the terms of payment?

A 50% deposit of your total booth amount is due at the time of your booking. After June 15, 2020, full payment is due with your contract. Failure to comply will result in cancellation of booth space and forfeiture of deposit.

I need to cancel my booth. How do I do that and will I be refunded?

For PestWorld Exhibitors: All refund requests must be made in writing and sent to Megan Moloney, mmoloney@pestworld.org.

What is included in the cost of the exhibit space?

Exhibitors receive the following for each 10’x10’ space:

Who is the official general contractor?

National Pest Management Association has selected Nexxt Show as the official general services contractor. Nexxt Show can provide carpeting, furniture, labor, shipping and other services.

Please review the Exhibitor Service Manual for prices and services (available June 2020).

Will there be other costs to exhibitors associated with exhibiting?

Yes. Nexxt Show has been selected as the official general services contractor for PestWorld 2020. The booth fee includes the hard walls and identification sign. Costs for booth furnishings, carpeting, drayage, and electric will all be additional. Exhibitors will be responsible for ordering these items through Nexxt Show.

When will the Exhibitor Service Manual be available?

The exhibitor service manual will be available in June. Nexxt Show will send an individual e-mail to each exhibiting company with their log-in and password information. All service kits are accessed online. If you don’t have online capabilities, please inform NPMA or Nexxt Show and a hard copy can be mailed out to you.

Does my booth need to be carpeted?

Yes. Exhibits are required to purchase carpeting or provide floor covering. Carpet can be rented through Nexxt show. Any booths found to be lacking proper floor coverings will have forced carpet provided by Nexxt Show at the exhibitors expense. If you are unsure if your planned floor covering is acceptable please contact Nexxt Show.

Are there union regulations?

Yes, union labor may be required for some aspects of your installation and dismantling. Please refer to the Union Regulations section in the Exhibitor Service Manual for more information.

What are the rules for Exhibitor Appointed Contractors (EAC)?

Exhibitors may employ the services of independent contractors to install and dismantle their booths. Written notification must be submitted to Nexxt Show at least 30 days prior to move in. Exhibitors must provide evidence that the EAC has the proper certificate of insurance.

Do my installers need work passes?

Everyone that enters the exhibit hall needs an official badge. NPMA is providing security for the hall 24 hours a day throughout the convention. If you need badges for workers that are helping with set-up or tear-down only, please inform NPMA prior to the show or stop by the registration desk on-site and a badge can be made for them at no charge.

How are the space assignments determined?

Space sales are assigned according to the Exhibitor Seniority System. A booth space drawing is held in September, approximately one year and one month out from the convention. Space is awarded by seniority with the companies that have exhibited for the most consecutive number of years having first choice. If a company does not participate in the booth space drawing, space then becomes available on a first-come, first-serve basis.

Is sharing space allowed?

No. Exhibitors are prohibited from subletting all or any part of their contracted booth space. Please note: This means that all signage, branding, badges, etc… must reflect the company that purchased the booth. NPMA will not permit badges to be printed with a company name that differs from the company that purchased the booth. If NPMA finds a company to be in violation of booth sharing (multiple companies on signage, booths with clear company separation, etc…) a warning will be issued.

My company would like to do a raffle drawing. Is that possible?

Exhibitors are welcome to hold drawings in their booth to increase traffic. Winners of drawings can be announced during the Friday exhibit hours only. Once an exhibiting company has picked a winner, that information can be brought to the NPMA booth and we will announce the winner and direct them to your booth. We do not make announcements during any other exhibit hall hours as it interferes with communication and dialog on the exhibit floor.

How do I reserve a hospitality suite or meeting space?

Hospitality suites and meeting rooms can only be rented to companies that are exhibiting at the PestWorld show. If you would like to book space, please e-mail Megan Moloney. She will put you in touch with the proper person at the hotel. You may then work directly with the hotel or Convention Center to secure the space you need.
